Team Invites & Roles

BindPilot supports multiple team members with granular role-based access control.

Roles Overview

| Role | Permissions | |------|-------------| | Agency Principal | Full access: team, carriers, billing, agents, integrations. Inviting Team Members

Send an Invitation

  1. Go to Settings > Team
  2. Click Invite Team Member
  3. Enter:
    • Email (work email or personal; they'll create an account)
    • Role (see table above)
    • Client Scope (optional; restrict to specific clients/accounts)
  4. Click Send Invite

BindPilot emails an invite link. The user clicks it, creates a password, and joins your account.

Pending Invitations

  • Invitations expire after 7 days
  • Resend from the Team page if needed
  • User's email must match the invite email to accept

Managing Team Members

View Team

Go to Settings > Team to see all active and pending members.

Change Role

  1. Click a team member's name
  2. Select a new role from the dropdown
  3. Changes take effect immediately

Remove Team Member

  1. Click a team member's name
  2. Click Remove from Team
  3. They lose access immediately; existing quotes/clients remain

Note: Removed members cannot rejoin without a new invite.

Client & Account Scoping

Producers and CSRs can be restricted to specific clients or account groups.

Scope a Team Member to Clients

  1. Go to Settings > Team > [Producer Name]
  2. Under Client Access, toggle Restrict to Specific Clients
  3. Select clients from your book of business
  4. Save

That producer can now only:

  • View/edit those clients
  • Generate quotes for those clients
  • Access renewals and proposals for those clients

Producers without client scope see all clients (Agency Principal and unrestricted Producers only).

Deactivating vs. Removing

Currently, only removal is available. Deactivation is planned for Q3 2026.

Security Best Practices

  1. Use strong passwords — Enforce 12+ characters for Producer+ roles
  2. Review team quarterly — Audit who has access
  3. Restrict client scope — Don't over-grant access
  4. Remove inactive users — Clean up after departures
