Renewal Agent

The Renewal Agent auto-shops policies at renewal and generates client-facing renewal proposals.

How It Works

On your configured schedule (e.g., 60 days before expiration):

  1. Agent Identifies Expiring Policies — Queries renewal pipeline
  2. Shops All Carriers — Requests comparative quotes from appointed carriers
  3. Ranks Top Option — Uses Quoting Agent to select best fit
  4. Generates Proposal — Creates branded renewal packet with your logo
  5. Notifies You — Sends email: "Renewal ready for review"
  6. Optional: Send to Client — If enabled, emails proposal directly to client

Configuration

Go to Settings > Agents > Renewal Agent:

Workflow Examples

Example 1: Notify Only (Safest)

  1. Agent shops 60 days before renewal
  2. Sends you email: "Ready to review renewal for [Client]"
  3. You review quotes, select carrier, send proposal
  4. Agent learns which carriers you picked

Best for: Building confidence in agent, active oversight

Example 2: Draft for Approval

  1. Agent shops 60 days before
  2. Generates proposal draft
  3. Sends you email: "Renewal proposal ready — approve to send to client?"
  4. You review, approve/deny
  5. If approved, agent sends proposal to client

Best for: Balancing automation with control

Example 3: Auto-Send

  1. Agent shops 60 days before
  2. Generates proposal
  3. Emails proposal to client directly
  4. Sends you notification: "Renewal sent to [Client]"
  5. You monitor responses

Best for: High-volume operations, mature workflows

Customizing Renewal Proposals

The agent uses your Renewal Proposal Template:

  1. Go to Settings > Templates > Renewal Proposal
  2. Customize:
    • Greeting (e.g., "Dear John, it's time to renew your homeowners policy")
    • Call-to-Action (e.g., "Call by [date] to bind")
    • Comparison Table (show all carriers or top 3)
    • Footer (your contact, payment instructions)

Renewal Agent Limitations

The agent cannot:

  • Bind policies (requires your approval + paperwork)
  • Handle complex underwriting (agent escalates to you)
  • Make coverage recommendations (shows options; you decide)

Monitoring Renewal Agent

  1. Go to Analytics > Agent Health > Renewal Agent
  2. View:
    • Renewals Shopped — How many renewals processed
    • Avg Response Time — 30–60 seconds typical
    • Approval Rate — % of proposals you approved
    • Errors — Any failed shopping attempts
