Renewals Pipeline

The Renewal Pipeline tracks expiring policies and automates the renewal process through the Renewal Agent.

Viewing Your Renewals

Go to Renewals to see all upcoming renewals in your book of business.

Timeline View:

  • 0–30 days (red) — Critical; reach out now
  • 31–60 days (yellow) — In progress
  • 61–90 days (blue) — Early shoppers
  • Future (gray) — Not yet active

Columns:

  • Client name
  • Policy number
  • Expiration date
  • Carrier
  • Current premium
  • Status (Pending, Shopped, Renewed)

Manual Renewal Shopping

Shop a Single Renewal

  1. Click a client in the Renewals list
  2. Click Shop Renewal
  3. BindPilot auto-populates the current policy info
  4. Confirm risk details, then click Shop All Carriers
  5. Review comparative quotes (see Comparative Quoting)
  6. Select a carrier and bind

Batch Shop

Shop multiple renewals at once:

  1. Check the box next to each renewal (or "Select All")
  2. Click Batch Shop Renewals
  3. BindPilot queues them; you'll be notified when complete
  4. Reviews results per client

Automated Renewal Agent

The Renewal Agent auto-shops policies X days before expiration and generates renewal packets for your clients.

Configure the Renewal Agent

  1. Go to Settings > Agents > Renewal Agent
  2. Set shop X days before expiration (60, 90, 120)
  3. Choose auto-action after shopping:
    • Notify Only — Alert you to review quotes
    • Generate Proposal — Auto-send to client with top quote
  4. Set renewal packet template (optional; branded PDF)
  5. Save

Renewal Agent Workflow

On the configured day:

  1. Agent queries all your carriers for the expiring policy
  2. Compares quotes and ranks by premium + fit
  3. If Notify Only: sends you an email with results
  4. If Generate Proposal: emails a branded proposal to the client + notifies you

You can override agent actions anytime.

Renewal Packet

A renewal packet is a branded PDF sent to the client containing:

  • Cover page — Your agency name/logo, personalized greeting
  • Comparison table — Side-by-side carriers + premiums
  • Recommended quote — Highlighted as the best value
  • Action steps — How to proceed (sign/return/pay)

Customize your renewal packet at Settings > Templates > Renewal Packet.

Renewal Status Tracking

Each renewal tracks its status:

| Status | Meaning | |--------|---------| | Pending | Not yet shopped; expiration coming up | | Shopped | Quote(s) obtained; awaiting client decision | | Quoted | Quote selected; sent to client | | Bound | Policy renewed with carrier | | Non-Renewed | Client declined to renew or moved to competitor |

Missed Renewals

If a renewal lapses (expiration date passes without binding), BindPilot flags it as Expired/Lapsed.

  1. Go to Renewals > Expired
  2. Contact the client immediately to reinstate
  3. BindPilot can quote ASAP reinstatement terms (may have penalties)

Renewal Analytics

Renewals Dashboard (upcoming in Q2 2026) will show:

  • Renewal rate (% of policies renewed with you)
  • Retention by carrier
  • Average renewal cycle time
  • Lapse/cancellation reasons
